2. Visiting the website and demo
The website and demo are hosted by Vercel Inc. under an account held by RLA Solutions. Delivering content and protecting the service involves technical request data, such as IP address, time, requested URL, browser or device information, response status and diagnostic information.
We use this information to deliver pages, troubleshoot errors and prevent misuse. The legal basis is Article 6(1)(f) GDPR: our legitimate interest in a reliable, secure website and demo.
Vercel uses international infrastructure. The demo currently processes server requests in the United States. The hosting arrangement is therefore not limited to the EU. Vercel processes hosted customer data under its data-processing terms; it also describes its own processing of service-generated data in its privacy notice.
Operational logs are retained within Vercel’s configured service retention windows and reviewed when needed to investigate faults or security incidents. We have not configured an external log export. Information needed for a specific incident may be retained until its investigation and any related legal requirements are complete.
3. Demo and functional browser storage
The demo uses fictional accounts, healthcare professionals and business records. You select a demonstration role without registering a personal account or providing a password. The session records that selected demo identity, not a personal customer account. Browsing and filter requests nevertheless generate technical request data as described above.
Cookies maintain the demo session and protect sign-in requests. When you choose a language, brand or layout, the demo remembers the setting. The following storage is used for these functions; it is not used for advertising or cross-site profiling.
| Storage | Purpose | Duration |
|---|---|---|
| aiq_demo.session-token | Maintain the chosen demo role and session | Up to 30 days; renewed during continued use |
| aiq_demo.csrf-token and aiq_demo.callback-url | Protect role sign-in and handle navigation | Browser session |
| aiq_demo.locale and aiq_demo.brand | Remember your chosen language and brand | Up to one year after the choice is saved |
| dashboard.accountLayout (local storage) | Remember your chosen card or table layout | Until removed in browser settings |
4. Storage choices and media
Access to or storage of information strictly necessary to provide the expressly requested demo functions is based on § 25(2) no. 2 TDDDG. The related personal-data processing is based on Article 6(1)(f) GDPR, our interest in providing the requested functions securely and consistently.
You can remove cookies and local storage in your browser settings. This resets preferences and may require selecting a demo role again. Blocking necessary cookies can prevent the demo from working.
Images, videos, fonts and the overview PDF are delivered as website assets. The site does not embed YouTube or social-media players. We do not use advertising pixels, newsletter tracking or a visitor analytics integration. The English/German switch on these legal pages uses the page URL and creates no preference cookie.
5. Email enquiries and backup mailbox
When you email robert.anschuetz@rla-solutions.com, we receive the contact details, message, attachments and email metadata you provide. Robert Ludwig Anschütz handles these enquiries for RLA Solutions’ own business. Opening an email link alone does not send a message.
The RLA Solutions mailbox is hosted by ALL-INKL.COM – Neue Medien Münnich, owner René Münnich, Hauptstraße 68, 02742 Friedersdorf, Germany. We access it with Microsoft Outlook, whose account synchronisation can also involve Microsoft’s cloud services.
Where backup forwarding is enabled, a copy including the sender details, message, attachments and metadata is forwarded to robert.ludwig@ew-change.co.uk. This mailbox uses Microsoft 365 administered by EW Change, which permits its use for RLA Solutions enquiries. The purpose is an additional way to access and respond to messages. Robert Ludwig Anschütz handles the copies; Microsoft and authorised service administrators may process data to operate and support the mailbox.
The purposes are responding to enquiries, discussing possible engagements and keeping track of follow-up. Article 6(1)(b) GDPR applies to steps towards a contract with you as an individual; Article 6(1)(f) applies to other business enquiries, including contact persons at companies. The legitimate interest is handling business communication and follow-up reliably.
Providing enquiry information is voluntary. We need enough information to understand and respond to your request. Please do not send patient data or unnecessary sensitive information.
6. Enquiry spreadsheet and OneDrive
We maintain a spreadsheet of enquiry names, companies, email addresses, phone numbers, enquiry notes and follow-up status. It is stored on the operator’s computer and in his own Microsoft OneDrive account. The spreadsheet is not shared with other people; Robert Ludwig Anschütz is its sole business user.
Microsoft processes the synchronised file and associated technical information to provide OneDrive. For the operator’s own Microsoft account, Microsoft’s consumer-service privacy terms apply. The purposes and legal bases are the same enquiry management and follow-up purposes described above. No additional CRM, newsletter, booking or AI service is used to process enquiries.
7. Retention and deletion
We delete enquiries that do not lead to business six months after the last substantive contact. This applies to messages and attachments in the RLA Solutions mailbox, any forwarded copies in the EW Change mailbox, and the corresponding records in the local spreadsheet and its OneDrive copy.
Records necessary for an ongoing matter, the establishment, exercise or defence of legal claims, or a statutory retention obligation are kept for as long as that purpose or obligation requires. Where applicable, business correspondence is retained for six years and accounting documents for eight years under the relevant statutory rules. These periods do not automatically apply to every unsuccessful enquiry. Mandatory retention is based on Article 6(1)(c) GDPR; retention for legal claims is based on Article 6(1)(f).
Deletion from active mailboxes and files does not necessarily remove provider-managed recovery copies, file versions or backups immediately. Such copies remain subject to the applicable recovery and overwrite cycles and access restrictions. Contact us if you need information about deletion of a particular record.
The browser-storage durations are listed above. Hosting logs follow the operational retention criteria in section 2.
8. Recipients and international processing
Data may be processed by the hosting and email/storage providers named above, their service providers, EW Change where the backup mailbox is used, and authorities or professional advisers where disclosure is required by law or necessary for legal claims. We do not sell enquiry data.
Microsoft’s relevant entities include Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland, and Microsoft Corporation in the United States. Vercel and Microsoft may process information outside the European Economic Area, including in the United States; the EW Change mailbox may also involve administration from the United Kingdom.
Vercel’s data-processing terms provide for EU standard contractual clauses for applicable international transfers. Microsoft describes reliance on adequacy decisions and safeguards such as EU standard contractual clauses in its privacy statement. These mechanisms concern provider transfers and do not mean that all data stays within the EU. You can contact us for information about the safeguards relevant to your data and how to obtain a copy.
9. Your rights
Subject to the applicable legal conditions, you may request access, correction, deletion, restriction of processing and data portability. You may withdraw any consent you have given with effect for the future; this does not affect the lawfulness of processing before withdrawal.
Where processing is based on Article 6(1)(f) GDPR, you may object on grounds relating to your particular situation. If personal data is processed for direct marketing, you may object to that processing at any time.
Send requests to robert.anschuetz@rla-solutions.com. You may also complain to a data protection supervisory authority, including where you live or work or where you believe an infringement occurred. For the operator in Munich, the Bavarian authority for the private sector is the Bayerisches Landesamt für Datenschutzaufsicht (BayLDA).
10. Automated decisions and updates
We do not use enquiry or visitor data to make solely automated decisions with legal or similarly significant effects, and do not profile visitors for that purpose. The scores and comparisons displayed in the demo concern fictional sample records.
We update this notice when relevant processing changes. The revision date above identifies this version.
